About the Role
As an Email + SMS Project Manager , you are the operational backbone of our lifecycle marketing team, but your role goes far beyond simple task management. You are an autonomous, agile, and highly proactive leader who drives exceptional results through flexible strategies and precise execution. You will oversee the entire lifecycle of multiple client projects (email campaigns, automated flows, and SMS programs), taking true ownership of project outcomes.
You'll sit at the intersection of strategy, copy, design, and direct client communication. As a primary client-facing representative, your job is to understand client goals, communicate priorities, and ensure alignment. You will be the glue that keeps everything together, making sure deliverables ship on time, approvals don't stall, resources are aligned, and clients are consistently engaged at every stage.
Who You Are
You've managed complex, multi-stakeholder marketing workflows before, ideally in an agency or eCommerce environment. You're not just organized; you possess the confidence to act autonomously. You anticipate bottlenecks, build systems to prevent them, and make independent decisions to keep projects moving.
You don't wait to be told something is late or that a client is unhappy, you spot early warning signs and course-correct before they become problems. You communicate clearly, follow up relentlessly, and take genuine pride in owning the success of your accounts. You're also not precious about how things have always been done. If there's a faster, smarter way to manage a process, including using AI tools, you're already testing it.
Core Responsibilities
- End-to-End Project Ownership: Own the production timeline for monthly email/SMS campaigns across a portfolio of DTC clients. Take full ownership of project outcomes, shifting focus from strict task management to overall strategic project management to ensure nothing ships late or half-baked.
- Direct Client Communication: Act as a primary, proactive liaison. Confidently lead direct communications with clients to gather assets, drive approvals, provide regular updates on priorities/wins, and take actionable meeting notes—without relying solely on Account Managers or Strategists.
- Proactive Account Health Monitoring: Monitor project momentum to identify early warning signs of client churn (e.g., stagnant activity or sudden nitpicking). Flag risks and blockers early, and collaborate with the team to course-correct immediately.
- Agile Execution & Flexibility: Adopt an agile mindset to maintain flexibility, focusing on continuous customer collaboration, rapid iterations, and responding to change over rigidly following initial plans.
- Streamlined Internal Collaboration: Facilitate efficient, targeted communication with strategists, copywriters, and designers. Ensure the delivery team is involved in planning stages to secure creative buy-in, reduce silos, and keep tasks moving through each stage of production.
- Workflow Management & AI Utilization: Utilize Asana to orchestrate project progress, keeping boards clean and stakeholders informed. Use AI tools (like Claude) to streamline your workflow—drafting follow-ups, organizing meeting notes, building status updates, and optimizing recurring processes.
- Autonomous Problem Solving: Identify potential roadblocks in project execution, make autonomous decisions on shifting priorities when necessary, and come to the table with proposed paths forward.
- Quality & Alignment Assurance: Verify that all deliverables not only meet our quality standards but directly align with the client's current expectations and goals before final delivery.
Must-Haves
- 3+ years of experience in project management in an agency or client-facing environment, with a strong track record of direct client communication.
- Proven ability to work autonomously, take ownership of decisions, and manage multiple concurrent projects with overlapping deadlines without dropping balls.
- Exceptional written and verbal communication skills, with the confidence to lead client calls, anchor expectations, and follow up firmly without burning relationships (your Slack messages are clear, not novels).
- An adaptable, agile mindset with the ability to pivot when necessary and prioritize client value over strict adherence to initial plans.
- Strong problem-solving skills with a highly proactive approach to addressing challenges before they escalate.
- Proficiency in project management tools (Asana strongly preferred) and comfort navigating Slack, Google Workspace, and Figma at a basic level.
- Excellent organizational instincts and high attention to detail: you build systems and checklists, and you catch the missing link in a message or a task marked "done" that wasn't.
Nice to Haves
- Experience managing email and/or SMS campaign production specifically
- Familiarity with Agile project management principles and how to apply them in a digital marketing/agency setting.
- Familiarity with the DTC/eCommerce ecosystem and how lifecycle marketing fits into the growth picture.
- Hands-on experience using AI tools (Claude, ChatGPT, or similar) to support project management workflows.
- Experience working with or alongside email strategists, copywriters, and designers in a collaborative production environment.
- Knowledge of tools like Asana or Google Workspace
- Be able to work standard business hours (9:00am–5:00pm) in ET, CT, MT, or PT time zones.
